Henry Golf Tours Terms and Conditions


The conditions laid out herewith form the basis of any contract between you (“the customer” “the consumer”) and Henry Golf Tours (“the Company”, “Henry Golf Tours”, “we”, “us”, “our”).  By making a reservation with Henry Golf Tours you agree to these terms and conditions and you enter into a direct contractual relationship with the transport providers, golf courses, accommodation providers and any other suppliers in the tour you book.  When offering our services, the information that we communicate is based on the information provided to us by the service providers.  These terms and conditions, as may be amended from time to time, apply to all our services directly or indirectly made available online, through any mobile device, by email or by telephone.

PAYMENTS & CONFIRMATIONS:

Any payment for the trip itinerary constitutes consent to all legal policies and terms and conditions described in this document.  

It is the customers responsibility to ensure that the company receives monies by due date.  The schedule of payments is as follows:

  • 25% non refundable deposit at time of booking
  • Final balance of 75% becomes due and non refundable 60 days prior to date of arrival
  • 100% payment due and non refundable if booking made within 60 days of arrival

Payments may be made by Wire Transfer, Credit Card, PayPal or online with Credit Card via our secure payment facility powered by PayPal (you do not need a PayPal account to use this service). Credit card payments will incur a handling charge of 3% (we accept Visa and MasterCard).  Please note payments are processed via our parent company Old Country Golf & Tours and will appear on your transfer/credit card/PayPal receipts as Old Country Golf & Tours

Only on receipt of full deposit can the tour be confirmed and all items on a proposed itinerary are subject to availability at the time of deposit receipt.

On receipt of final payment your pack of travel documents and vouchers will be issued.  The vouchers are your proof of booking and should be handed in at each of the suppliers on check in.

PRICING

All tour costs are provided in Euro for Ireland itineraries and in GBP for UK Itineraries, equivalent prices may be provided in other currencies for comparison and informational proposes only.

Prices do not include airfare and do not include any other items not specifically mentioned for example, gratuities, accommodation services such as porterage, laundry telephone etc., optional excursions and all beverages and food outside of where breakfast has been included

ITINERARY COMPONENTS

For the duration of the itinerary you will have full back up services from our representatives in IrelandGolf, accommodation transport and other service providers reserve the right to make changes prior to or during the operation of the programs due to operational reasons or for any unforeseen conditions and reasons beyond the control of local providers.

Golf Bookings: Should a course need to close due to bad weather or course condition the club will either offer an alternative tee time or advise you to contact us for a refund.  Refunds will not be offered if the course is open but the client decides not to play.  Handicap certificates or cards may be required at some courses.  The Company does not accept responsibility for caddy services as caddies are not direct employees of the golf clubs and it is the caddie’s responsibility to arrive at the correct time. We can request caddies at the courses should customers require it but please note they are not guaranteed.  Caddy fees are payable directly on the day by the client.

Accommodations: The company assesses and reassesses allaccommodationsrecommended and used in our itineraries. Accommodation is generally inclusive of full Irish breakfast unless you have elected to book self catering.   Should any accommodation not be available after your quotation an alternative of similar standard will be offered.  Itineraries include standard room types unless otherwise stated.  Should you wish to upgrade your room type many accommodations will have upgraded room types to offer with incremental costs as the type ascends.

Rental Cars: Car rental inclusions vary with each rental company but generally hire will usually include Unlimited Mileage; Collision Damage Waiver (CDW), Theft Protection (TP) and Third Party Insurance.  Age limits apply as follows:

Minimum age is 23 years and Max age is 79 years.

23/24 years – certain smaller vehicle types can be hired only and a surcharge of €26 per day will apply.  If age limit applies please enquire for vehicle types.

25/26/27 years - certain vehicle types can be hired only. If age limit applies please enquire for vehicle types

75 – 79 years – customers in this age bracket can rent with specific conditions.  They must drive on a regular basis, they must provide a letter from their doctor to state they have been in good health for at least 12 months and they must provide a letter from their insurance company to state they have not had an accident in the past 5 years, that they are currently driving and hold a current policy of motor insurance with them.

Hire includes the cost of only one driver per vehicle but additional drivers may be added for a fee at the time of pick up, all drivers must present a valid, full and clean driving licence.  Deposit amounts are required at the rental desk for CDW excess & fuel.  A valid credit card is required in all cases.  Optional insurances are sold directly at the car rentals desk.  Your voucher does not constitute the rental agreement, when you pick up the vehicle, you must sign a rental agreement provided by the rental company.  Additional fees may apply for rental service beyond hours of operation.  Rental Cars are considered to be manual drive unless specified.  When a specific car is requested, the rental company will strive to provide this car, however a similar car may be given instead depending on availability.

Coach & Driver:  The daily rates apply to the relevant vehicle for a maximum of nine hours per day.  This is to comply with the driving and rest period regulations in Ireland.  Also in order to adhere to regulations a driver may not work for more than six consecutive days without taking his weekly rest, either one or two days off, therefore the same driver may not be able to remain with the group for the duration of the stay.  

Additional Excursions and Activities:  Other suppliers including but not limited to excursion providers and restaurants that are payable directly by the customer are not run, supervised, or controlled in any way by Henry Golf Tours.  These services are provided by local operators or other third parties that are entirely independent of the Company.  Such activities, excursions, dinner reservations etc do not form any part of the product or services sold to you by us even where we suggest particular third parties and/or assists you in booking these activities or excursions.

CHANGES

Changes to a reserved schedule are possible subject to availability and we will not charge fees for amendments within reason, however if we deem the changes excessive or there is an accumulation of changes an administration fee may be implemented but this will be notified to you before we proceed with any changes. 

Please note that apart from any administration fees some amendments may result in a change to individual supplier prices or changes in the division of cost per person where transport is concerned which may result in changes to the overall cost of the trip.  The following are some examples of where itinerary amendments may result in changes to the itinerary pricing:

  • A change in the number of occupants per room may change the price of the package or require the introduction of a single room supplement
  • A change from weekday to weekend may increase the price at some golf clubs.
  • Reducing the number of participants may increase in the costs per person as the transport is divided between a lesser number of participants.

CANCELLATIONS

By making a reservation you accept and agree to the relevant cancellation and no-show policy of the individual suppliers.  Notification of cancellation or reduction must be made in writing.  If you have to cancel or reduce numbers for any of the trip usually the more notice that you are able to give, the better chance that the service can be re-sold and the more likely that you will be able to secure a partial or a complete refund.  Some suppliers may allow you to transfer your booking to another time period.

We will be able to provide you the total costs associated with the changes or cancellations to your itinerary.  If you have to cancel your trip or reduce participant numbers (especially inside of 30 days of travel) you should know that you may forfeit a portion or in a worst case scenario all of your fees.  The accommodations, transport companies, or activity vendor may have cancellation fees that we are required to pass on to you.  We will strive to refund payments where possible.  There are also ways to protect yourself.  Consider purchasing Trip Cancellation Insurance for added protection.

REFUNDS

All claims for refunds must be submitted in writing within 30 days of end of travel date and the Company reserves the right to determine eligibility for requested refunds.  Any refunds that become due will be processed by the same method as the original payments were made and the refund will be issued within 30 days of written notification of same.  Any refunds to credit cards will not include any handling charges  included in the payment.  No refunds are made for unused portion of any itineraries such as but not limited to no-shows at golf courses and accommodations.

RESPONSIBILITY

Henry Golf Tours have obtained contracts with independent suppliers of accommodations, golf tee times, car or coach rental and other services provided in the individual itinerary with the booking of accommodation, golf, land travel details or other services on the client(s) behalf upon the condition and agreement that Henry Golf Tours or any of its employees andrepresentatives accept no responsibility or liability for any negligent acts and/or omissions, double bookings, failures of performance or delays by these independent contractors and their employees or representatives.

Subject to the extent permitted by law neither Henry Golf Tours or any of its employees or representatives shall be liable for force majeure or any events beyond our control such as but not limited to changes of schedules by airlines, technical problems to transport and closure of airports.  Henry Golf Tours is not liable for loss, damage or theft of luggage or personal belongings, for personal injury, accident or illness.  If the Company, as a result of force majeure is forced to amend, shorten or cancel the itinerary the Consumer cannot maintain a claim for compensation.

As far as is known all information in  promotional and other materials of the Company is accurate at the time of publication.  Obvious errors and mistakes (including misprints) are not binding.  Should our web site and its travel offerings (including confirmations) contain errors, including errors in pricing or package inclusions, we reserve the right to correct any such errors, without limitation.  Where we become aware of any errors we will take all reasonable steps to inform you in a timely manor.

It is the customers’ responsibility to be fully briefed on all the aforementioned Terms and Conditions and it is the responsibility of the designated liaison for the group to ensure all participants on the trip are made aware of these terms and conditions before confirming their place on the trip.  It is also your responsibility to verify passport requirements.

RECOMMENDATIONS

Travel Insurance is highly recommended for all travellers.  Most providers will offer several different types of travel insurance and coverage varies with different policies.  Cancellation protection and interruption protection is one of the most important benefits you should seek.  Please review your policy details and know what is and is not covered.  We also recommend each customer and trip participant take out travel insurance that covers loss, damage or theft of luggage, personal injury, illness and accidents.

Golf Handicaps: Some golf clubs, particularly the well know links courses, require visitors to bring handicap cards, while this is not yet that common we recommend you travel with a handicap card and we accept no responsibility if you do not and are resultantly denied golf.  Most clubs also place handicap restrictions on visitors.  If your handicap is greater than 24 (men) or 36 (ladies) please notify us and we can discuss which clubs may have restrictions.
